2Our two roles
For this website and our own business relationships, we're the responsible party. Inside the systems we run for clients, each client is the responsible party for its own customers' and staff's information, and we process it on the client's behalf as an operator, under our Data Processing Terms.
3What we collect on this site
- The contact form: your name, email address and business name, why you're getting in touch and your message, with any details you add, such as how urgent an issue is
- Bot protection: to stop automated spam, the form is checked by Cloudflare Turnstile, which receives technical information such as your IP address and browser details
- Server logs: our hosting keeps standard technical logs, such as IP addresses and the pages requested, to keep the site secure and working
- On your device: a few preferences, such as whether sound is on, are kept in your browser. See Cookies and Device Storage
We don't use advertising, analytics or tracking tools on this site, and we never sell personal information.
4Why we use it
- To reply to you and provide what you've asked for
- To provide, support and invoice our services to clients
- To keep our systems and this site secure
- To meet our legal obligations
We process personal information only where POPIA allows it: with your consent, to conclude or perform a contract, for our or our clients' legitimate interests, or where the law requires it.
6Information sent outside South Africa
Some of our providers process information outside South Africa. Where they do, the information stays protected to a standard comparable to POPIA, through laws that bind the provider or a binding agreement, as section 72 of POPIA requires.
7How long we keep it
We keep personal information only as long as we need it for the purpose it was collected for, or as long as the law requires, and then delete or de-identify it. Client Data is handled as our Software Licence and Data Processing Terms set out.
8How we protect it
We protect personal information with appropriate technical and organisational measures, including encryption in transit and at rest, role-based access, two-factor authentication and audit logs. See Security.
If personal information is ever compromised, we'll notify the Information Regulator and the people affected as soon as reasonably possible, as POPIA requires.
9Your rights
- Ask whether we hold personal information about you, and for a record of it
- Ask us to correct or delete it
- Object to how we're processing it
- Withdraw consent you've given, without affecting processing that has already happened
- Complain to the Information Regulator, at inforeg.org.za
To use any of these rights, email info@coded.co.za. We'll respond within a reasonable time, and may first need to confirm your identity.
If your information is held in a system we run for one of our clients, please contact that business first. We'll help them respond.
10Changes to this policy
We'll update this policy whenever how we handle personal information changes. The version and date at the top show which version you're reading.
